Job requisitions, a branded careers page, a hiring pipeline, interview scorecards and offers that hand straight into onboarding.

Overview

Recruitment covers hiring from the moment a manager asks for a new person to the day that person signs in as an employee. A manager raises a requisition; once it is approved it becomes a job, which HR completes and publishes on the organization's own careers page.

Candidates apply on the careers page without an account, or are added by the hiring team, referred by an employee, or brought in from a talent pool. Each application moves through the job's hiring stages on a pipeline board. Interviews are scheduled with calendar invitations, and every interviewer fills in a structured scorecard.

When the team has chosen someone, HR drafts an offer with the full salary structure. After approval the candidate receives a secure link to view the offer letter and accept or decline it online. HR then converts the candidate into an employee in one step — the same steps as Employees › Add employee — and onboarding, probation and benefits start exactly as they do for anyone else.

Every screen is scoped: HR sees everything, a hiring manager sees only the jobs they are on, and an interviewer sees only the candidates they interview.

Who uses it

  • HR / Recruiters: Set up the careers page, hiring stages, application questions, scorecards, email templates, approval workflows and privacy settings. Publish jobs, manage every candidate and interview, create and send offers, convert hires into employees, handle candidate data requests, and run the reports.
  • Managers / Hiring managers: Raise requisitions for their team. On jobs where they are on the hiring team they review applicants, move them between stages, reject or restore them, add notes and schedule interviews. They see salary figures only if they hold the salary permission or HR has allowed hiring managers to see them.
  • Approvers: Anyone named in an approval workflow — a specific person, a role, a department head or the hiring manager's own manager. They approve, reject or return requisitions and offers from Recruitment › Approvals, even without any other recruitment access.
  • Interviewers: Any employee placed on an interview panel. Under My Interviews they see their upcoming and past interviews, open the candidate's resume and the interview kit, and submit a scorecard. They cannot see other interviewers' feedback until they have submitted their own.
  • Every employee: Browse the organization's open positions under Open Positions, refer someone they know, and follow the progress of their referrals.
  • Candidates: Browse and apply on the careers page, pick an interview slot from a link if offered, and view, accept or decline their offer online. New hires then receive their login details by email and choose their own password at first sign-in.

What you can do here

Requisitions and approvals

  • Raise a requisition for a new hire or a replacement: title, department, designation, number of openings, salary range, employment type, work mode, target start date and justification. For a replacement, pick the leaving employee and the form fills in their job.
  • Link a requisition to an Org Chart position to fill in the job details; a warning appears when the position's authorised headcount is already used (the requisition can still go ahead).
  • Offboarding has a "Request a replacement" button that opens a requisition pre-filled from the leaving employee.
  • Requisitions and offers go through approval workflows of up to five levels. Each level has approvers (a person, everyone with a role, the job's hiring manager, the department head, or the hiring manager's manager) and waits for any one or for all of them. Workflows can apply only to certain departments or above a salary.
  • Approvers approve, reject or return for changes with a comment. Nobody approves their own submission. A level whose approvers have all left is skipped, and if nobody is left the Super Admin is asked.
  • The Approvals page has a Stuck tab: an approval with no active approver, or waiting for 3 days or more, can be overridden by HR or the Super Admin with a written reason.

Jobs and the careers page

  • An approved requisition creates a draft job with the organization's default stages. HR completes the job ad (description, requirements, benefits), the hiring team, the application questions and the stages, then publishes it.
  • Choose which standard fields the application form asks for (phone, resume, cover letter, LinkedIn, city, current and expected salary, notice period) — required, optional or hidden — and add custom questions from the question library.
  • Mark knockout answers on questions (for example "Do you have a valid driving licence? — No"). A candidate who gives one is rejected automatically, and the rejection email is delayed (24 hours by default) so it does not feel automatic.
  • Each job's stages can be changed, reordered and given automations: send an email template when a candidate enters a stage (optionally after a delay), notify people, or reject candidates left idle in the stage for a number of days.
  • Jobs are Public (careers page and Open Positions) or Internal (Open Positions only). The share panel gives ready-made links for LinkedIn, Rozee.pk, Facebook, WhatsApp and Indeed — each records where applicants came from — a copy-ready post, and an embed code for the company website.
  • The careers page at /careers/<workspace> shows the company logo, colours, banner, headline, About, culture, perks and office locations, the open jobs with search and filters, and each job's own page. Jobs appear in Google for Jobs automatically and in an XML feed.
  • The careers page is off until HR turns it on in Settings › Careers page. A public job opened while it is off is not visible outside the company, and the job page warns about it.
  • A job closes itself as Filled when the number of converted hires reaches its openings; HR can then reject the remaining candidates or move them to a talent pool.

Pipeline and candidates

  • Work each job on a kanban board (drag cards between stages, or use "Move to…") or a list with filters by status, source and tag. Select several candidates to move, reject, email, tag or add them to a talent pool in one go.
  • Reject with a reason and choose whether to email the candidate now, later or not at all; withdraw a candidate who pulled out; restore a rejected candidate (a delayed rejection email that has not gone out yet is cancelled).
  • Each person has one candidate profile across all their applications. It shows the resume viewer, application answers, interviews, offers, a timeline of every step, notes with @mentions, files and every email sent. Current and former employees are flagged, and people who share a phone number with another candidate are marked as a possible duplicate.
  • Add a candidate yourself with their resume and source, or add an existing candidate to another job. Duplicate profiles can be merged by HR.
  • Send branded emails from editable templates, or a custom message; the candidate's replies go to the organization's reply-to address.
  • Keep promising people in talent pools and add them to a new job in one click.

Interviews and scorecards

  • Schedule an on-site, video or phone interview with a panel of interviewers, a meeting link or location, instructions for the panel and a note for the candidate. Everyone receives an email with a calendar invitation; rescheduling or cancelling sends an updated invitation.
  • Or offer the candidate several time slots and let them choose one from a link; the panel is only booked for a slot nobody on it is already busy in.
  • Interviewers rate each attribute on the scorecard from 1 (Poor) to 4 (Excellent), or mark it Not assessed, and give an overall recommendation: Strong no, No, Yes or Strong yes. Key takeaways are shared with the hiring team; private notes are visible only to the author and HR.
  • Scorecards are blind: an interviewer sees colleagues' feedback only after submitting their own. They can edit their scorecard for 7 days after submitting.
  • The debrief view brings all scorecards together with attribute averages and the spread of recommendations. Interviewers who have not submitted are reminded automatically.

Offers and hiring

  • Create an offer from the candidate's Offer tab: job title, department, designation, position, reporting manager, joining date, probation, expiry date and the monthly salary structure (basic salary plus the organization's salary components) — the same components as Salary Setup.
  • Submit the offer for approval. Once approved, send it: the candidate receives an email with the offer letter PDF and a secure link. The offer letter uses the Offer letter template in Lifecycle › Settings › Letters.
  • The candidate accepts by typing their full name and ticking a confirmation; the date, time and IP address are recorded. They can also decline with a reason. Unanswered offers expire on their expiry date.
  • Need to change a sent offer? Revise it: the old version is superseded and the new version goes through approval again. An offer can also be withdrawn with a reason. Rejecting or withdrawing a candidate automatically withdraws any offer still in progress.
  • Convert an accepted candidate into an employee. The form is pre-filled from the candidate and the offer; HR sets the work email and chooses to email the login details now or on the joining date. The employee record, first salary version (from the joining date), position, reporting line, leave balances, onboarding case, probation, benefits, Job History entry and Appointment letter are all created, and the signed offer is filed with the employee's documents.
  • If the candidate is already an active employee, or the job's openings are already filled, HR is warned and must confirm before converting.
  • If a hire does not join (before the joining date, or before they ever signed in), choose "Mark did not join": onboarding is cancelled, the employee record is deactivated, the position is freed and the job reopens. Cancelling their onboarding from Lifecycle does the same.

Referrals

  • Every employee can open Open Positions, search and filter the open jobs, read each job's details and refer someone with their resume and a note.
  • My referrals shows each person referred and how far they have got. If the person was already in the process before the referral, it shows "Already in process" and no further detail.

Reports, privacy and data

  • The Overview page shows open jobs, candidates in the pipeline, new applications, offers in progress and recent hires, with your pending approvals, scorecards to submit, upcoming interviews and jobs needing attention.
  • Reports cover the hiring funnel, time to hire, time to fill, time spent in each stage, source effectiveness, offer acceptance and decline reasons, rejection and withdrawal reasons, interviewer load and scorecard timeliness, open job ageing and requisitions — filtered by period, department and job, each exportable to CSV or Excel.
  • Candidates give privacy consent when they apply and may agree to stay in the talent pool. Their data is anonymised automatically 12 months after their last application closes (24 months with talent-pool consent); both periods can be changed in Settings › Privacy & defaults.
  • HR can export all data held on a candidate, or anonymise a candidate on request. Both are recorded in Audit Logs.
  • An optional diversity survey (off by default) can be shown after applying. Answers are voluntary, never linked to the person, never shown to the hiring team, and reported only in groups of five or more.

Step-by-step: Hire someone from start to finish

  1. 1Manager: go to Recruitment › Requisitions, click New requisition (or Request a hire on the Overview), fill in the role, openings, salary range and reason, and submit it for approval.
  2. 2Approvers approve it under Recruitment › Approvals. The approved requisition creates a draft job.
  3. 3HR: open the job under Recruitment › Jobs, complete the job ad, questions, stages and hiring team, and click Publish. Make sure the careers page is turned on in Settings › Careers page.
  4. 4Share the job with the links on its Sharing panel. Applications arrive in the job's pipeline (Recruitment › Jobs › the job › Pipeline).
  5. 5Move promising candidates forward, schedule interviews from the candidate's Interviews tab, and read the scorecards in the debrief.
  6. 6Move the chosen candidate to the Offer stage, create the offer on their Offer tab, submit it for approval and, once approved, send it.
  7. 7When the candidate accepts, click Convert to employee, check the pre-filled details, enter the work email and choose when to email the login details.
  8. 8The new employee appears in Employees. At first sign-in they choose their own password, confirm their email and complete onboarding.

Step-by-step: Set up Recruitment for the first time

For HR / the Super Admin

  1. 1Open Recruitment › Settings (or Settings › Recruitment).
  2. 2Careers page: turn the page on, upload the banner, set the brand colours, headline, About, culture, perks and office locations, and the SEO title and description.
  3. 3Stages: adjust the default hiring stages every new job starts with (Applied first, Hired last).
  4. 4Questions & forms: build the question library and any reusable question sets; mark knockout answers where useful.
  5. 5Scorecards: create scorecard templates with the attributes to rate and the interview kit questions.
  6. 6Emails: review the candidate email templates (acknowledgement, rejection, interview invitation, offer, login details and others) and set the sender name and reply-to address under Privacy & defaults.
  7. 7Approvals: review the requisition and offer approval workflows and change the approvers if needed.
  8. 8Reasons and Privacy & defaults: check the rejection and decline reasons, retention periods, the offer expiry default, the knockout email delay and whether hiring managers may see salaries.

Step-by-step: Approve a requisition or an offer

For approvers

  1. 1Open the notification, or go to Recruitment › Approvals (shown in the sidebar as "Hiring approvals" if you have no other recruitment access). The Waiting on me tab lists what needs your decision.
  2. 2Open the item to read the details and the approval trail so far.
  3. 3Choose Approve, Reject or Return (sends it back to the requester for changes), add a comment and confirm. The next level's approvers are notified automatically.

Step-by-step: Review applicants for your job

For hiring managers

  1. 1Open Recruitment › Jobs and click your job, then Pipeline.
  2. 2Click a candidate card to open the profile: read the resume, answers and notes.
  3. 3Drag the card to the next stage, or use Move to…. To turn someone down, choose Reject, pick a reason and decide whether to email them.
  4. 4Add a note for the team, typing @ to mention a colleague — they are notified.
  5. 5Schedule an interview from the candidate's Interviews tab.

Step-by-step: Interview a candidate and submit a scorecard

For interviewers

  1. 1You receive an email with a calendar invitation. Before the interview, open My Interviews (or Recruitment › Interviews) and click the interview.
  2. 2Read the candidate's resume and the interview kit — suggested questions for each attribute.
  3. 3After the interview, rate each attribute from 1 to 4 (or Not assessed), choose your overall recommendation, and write the key takeaways. Use Private notes for anything only HR should see.
  4. 4Click Submit scorecard. You can now see your colleagues' scorecards, and you can edit your own for 7 days.

Step-by-step: Make an offer and convert the hire

For HR

  1. 1On the candidate's Offer tab, click New offer. Check the pre-filled job details, set the joining date, probation and expiry date, and build the monthly salary structure.
  2. 2Submit for approval. Once approved, click Send — the candidate receives the offer letter and a secure link.
  3. 3Watch the offer's status: Sent, Opened by candidate, then Accepted or Declined. To change terms, Revise the offer (it is approved again).
  4. 4When accepted, click Convert to employee. Enter the work email, check the department, designation, reporting manager, position and probation, and choose Login details: send now or on the joining date. Confirm.
  5. 5Open the new employee record from the candidate profile or the employee's Hiring tab. If the person does not turn up, use Mark did not join on the Offer tab.

Step-by-step: Refer someone for an open position

For every employee

  1. 1Open Open Positions from the sidebar and find the job — search or filter by department.
  2. 2Click Refer someone, enter their name, email and phone, upload their resume, and say how you know them.
  3. 3Submit. They receive a short email telling them you referred them, and the recruitment team sees the referral in the job's pipeline.
  4. 4Follow their progress under the My referrals tab.

Step-by-step: Apply for a job and accept an offer

For candidates

  1. 1Open the company's careers page or the job link you were sent, read the job and click Apply.
  2. 2Fill in your details, upload your resume, answer the questions, accept the privacy notice and submit. You receive a confirmation email.
  3. 3If you are invited to choose an interview time, open the link in the email and pick a slot; a calendar invitation follows.
  4. 4If you receive an offer, open the link in the email to read the offer letter. To accept, type your full name and confirm; to decline, choose a reason.
  5. 5After you accept, the company creates your employee account. You receive your login details by email; at first sign-in you choose your own password.

How it connects to other modules

  • Employees: converting a hire runs the same steps as Employees › Add employee (employee number, seat limit, reporting line, position, leave balances, rehire check). The employee profile has a Hiring tab — for HR and the job's hiring team — showing the job, source, referrer and accepted offer.
  • Lifecycle: the onboarding case, onboarding tasks, probation record and benefits start automatically on conversion. The Offer and Appointment letter templates are edited in Lifecycle › Settings › Letters. Cancelling a hire's onboarding marks them "did not join" in Recruitment, and Offboarding can raise a replacement requisition.
  • Salary: the offer's salary structure becomes the employee's first salary version from the joining date.
  • Org Chart: requisitions, jobs and offers can be tied to a position; the hire is assigned to it, and exceeding authorised headcount shows a warning.
  • Notifications: approvers, hiring teams, interviewers, mentioned colleagues and referrers are notified in-app and by email (the Recruitment category in notification preferences).
  • Audit Logs: every recruitment change is recorded under the Recruitment module, including candidate data exports and anonymisation.

Good to know

  • Salary figures on applications and offers are hidden from anyone without the "View candidate & offer salaries" permission; hiring managers also see them when HR switches that on in Settings › Privacy & defaults.
  • A candidate can only be moved to Hired by accepting an offer, never by hand. Rejected or withdrawn candidates cannot book interview slots or accept offers.
  • A person already in the system is never overwritten by a public application or a referral: a repeat application does not change their profile, and a hiring-team member who adds a candidate already known to HR is asked to let HR add them.
  • New hires converted from Recruitment get a system-generated password and must choose their own at first sign-in. If they already set a password before the joining date, the scheduled login email is skipped.
  • Resumes and candidate files are private: they are served only to people allowed to see the candidate, and only PDFs and images open in the browser.
  • Automatic jobs (delayed emails, offer expiry, scorecard reminders, login details on the joining date, idle-candidate rules and data retention) run on the recruitment schedule, which the system administrator must set up.
