Attendance

A place for employees to check in and out each day, and for managers and HR to see, correct, and report on everyone's attendance.

Overview

Attendance lets every employee record when they start and finish work, either from a button in the page header or from a dedicated attendance page. It automatically works out whether someone was on time, late, absent, or only worked a half day, based on their assigned shift.

Managers and HR get extra views to watch the whole team in real time, review a full month at a glance, and correct records when something goes wrong.

Who uses it

  • HR Admins: See and edit anyone's attendance, download attendance reports, and are the ones who typically switch on network restrictions for specific employees.
  • Managers: See the same organization-wide “Team today” and “Monthly sheet” views as HR, and can correct attendance records, but cannot download reports unless specifically given that right.
  • Employees: Check themselves in and out, and view their own daily and monthly attendance history.

What you can do here

  • Check in and check out for the day from a button available on every page in the header, or from the “My attendance” screen.
  • View a personal monthly calendar showing each day's status (Present, Late, Absent, Half day, On leave, Weekend, Holiday, Scheduled) plus a summary of present/late/absent/half-day/leave/holiday counts, average hours, and overtime for the month.
  • Click any day on the calendar to see exact check-in/check-out times and hours worked.

Team & organization views (HR / Managers)

  • Team attendance (“Team today”): a live, searchable table of everyone's check-in and check-out status for today, with an Edit option to correct any record.
  • Monthly attendance sheet: a grid showing every active employee across every day of a chosen month, using letter codes (P = Present, A = Absent, L = Late, H = Half day, MC = Missing checkout, LV = On leave, WO = Week off, PH = Public holiday), filterable by department, designation, or name, and downloadable as CSV or PDF.
  • Open any individual employee's attendance page to review their full calendar and, if permitted, manually add or correct a day's record (check-in time, check-out time, status, and overtime hours).
  • Export attendance data as CSV or PDF for reporting.

Step-by-step: Checking in and checking out for the day

  1. 1From anywhere in the dashboard, click the Check in button in the page header (or go to “My attendance”).
  2. 2The system records the time, compares it to your scheduled shift and any grace period, and marks the day Present, Late, or (if very late) Absent.
  3. 3At the end of the day, click Check out. The system totals your hours worked and calculates any overtime.
  4. 4If you worked less than half your scheduled shift, the day is automatically marked Half day.
  5. 5Review the result any time on your personal attendance calendar.

How it connects to other modules

  • Leave Management: approved leave automatically shows as “On leave” on the attendance calendar and is not counted as an absence. Comp-off (time off in lieu) is earned from days worked outside the normal schedule, which attendance records make visible.
  • Holidays: confirmed company holidays automatically appear as Holiday/PH on everyone's attendance calendar and are excluded from working-day counts.
  • Salary & Payroll: hours worked, overtime, half-days, and absences recorded here feed directly into payroll calculations.
  • Employee profiles: the option to restrict an employee's check-in/check-out to an approved company network is switched on from their employee profile, and attendance is where that restriction is actually enforced.

Good to know

  • Network restriction: HR can require specific employees to check in and out only from an approved company network. If this is on for someone but no networks have been added, every attempt is blocked until HR adds one. The organization's Owner is always exempt.
  • Half-day rule: working less than 50% of a scheduled shift always marks the day as a Half day — a fixed, company-wide rule.
  • Late vs. Absent: each shift has a start time and a short grace period; check in after the grace period and you're marked Late; check in after the shift has effectively ended, and you're marked Absent instead.
  • Overnight shifts are supported — a shift that crosses midnight is treated as belonging to the day it started.
  • Which days count as a weekend comes from each employee's configured schedule, not something anyone can manually mark.
  • Once an employee has left the organization, their past attendance remains visible and can still be corrected, but no one can add or edit records on or after their last working day.
