Employees

The company's employee directory, where HR and management add, view, and maintain everyone's records.

Overview

Employees is the central directory of everyone in the organization — their contact details, job information, banking details, compensation, and more. HR Admins and Managers use it to bring new hires into the system, keep records current, and look up anyone's full profile in one place.

Regular employees don't get a directory view; they only ever see their own single record here, which mirrors the same information HR maintains about them.

Who uses it

  • HR Admins: Full access — add, edit, deactivate, and delete employees; search and filter the whole directory; export records; manage company-wide check-in network (IP) restrictions.
  • Managers: The same broad access as HR Admins for viewing and managing employees, except they cannot edit or remove HR Admins or Super Admins.
  • Employees: Can only see their own entry, shown as a single-row directory limited to themselves, with none of the management actions available.

What you can do here

  • Search the directory by name or employee ID, and filter by status (Active, On leave, Inactive, Terminated, or All), employment type, and department.
  • Add a new employee through a multi-tab form covering Basic information, Employment, Compensation, Work experience, Bank details, and Check-in network restrictions.
  • View a full employee profile organized into tabs — Basic information, Employment, Compensation, Job history, Increment history, Leave, Work experience, Bank details, Assets, and Check-in IP restriction — with tabs only shown to people who have the corresponding permission.
  • Edit an existing employee's details, including changing their status (e.g. to Inactive or Terminated) with a required reason.
  • Reactivate an employee whose status is not currently Active.
  • Delete an employee entirely (permanent, cannot be undone) — not available for yourself, and never available against a Super Admin account.
  • Export the current filtered list of employees to a CSV file.
  • Turn check-in network (IP address) restrictions on or off for every employee in the company at once, instead of one at a time.
  • Assign a role when adding or editing someone — built-in roles (HR Manager, Management, Employee) or a tenant-specific custom role built on one of those.
  • Pick a pre-configured “position slot” when adding someone, which automatically fills in department, job title, employment type, and work location.

Step-by-step: Adding a new employee

  1. 1From the Employees list, click Add employee.
  2. 2On the Basic information tab, fill in the person's name, contact details, work email, an initial password, department, designation, date of joining, and role.
  3. 3Switch to the Employment tab to set their reporting manager, employment type (full time, part time, contract, intern, casual), and work location (remote, onsite, hybrid).
  4. 4If you manage salary, switch to the Compensation tab to set their pay package.
  5. 5Optionally fill in Work experience, Bank details, and any Check-in network restriction.
  6. 6Click Create employee. The new employee can then sign in with the email and password you set, and confirms a code sent to that email before onboarding begins.

How it connects to other modules

  • An employee's Leave tab links directly into Leave Management's balances and history for that person.
  • The Compensation tab reflects the live salary package from Salary & Payroll, not just a single number.
  • The Assets tab (when visible) shows equipment and items assigned to that employee via Assets.
  • The Job history tab shows promotions, transfers, and other changes recorded in Employee Lifecycle.
  • The Increment history tab links into Salary & Payroll > Increments for that employee.

Good to know

  • Only people who can manage employees (by default HR Admins and Managers) can open this module at all; everyone else is told the module isn't available to them.
  • Inactive and terminated employees are never deleted — they simply stay hidden behind the Status filter unless you specifically choose to see them, so the active headcount stays accurate by default.
  • Employees whose recorded employment end date has already passed are automatically switched to Inactive status whenever the directory page loads.
  • A Manager cannot edit or delete HR Admin or Super Admin accounts, and nobody — not even a Super Admin — can delete themselves, or delete a Super Admin account.
  • Changing an employee's status to Inactive or Terminated requires entering a reason, which is then shown on their profile along with who made the change and when.
  • If check-in IP restriction is turned on for someone but no allowed addresses are configured, that person is effectively locked out of checking in or out until an address is added. Super Admin accounts are always exempt from these restrictions.
  • Whether an employee's salary figures are visible to a viewer (on the profile, in exports, in notifications) depends on a separate “view salary amounts” permission, distinct from the general ability to manage employees.
