Announcements
A company-wide news board for sharing updates, policies, events, and alerts with the right people at the right time.
Overview
Announcements let HR and other authorized staff write a message once and have it reach exactly the audience it's meant for — everyone, a specific department, a set of named people, or everyone holding a certain role.
Announcements can be saved as a draft, scheduled for a future date and time, published immediately, and set to expire automatically. Every employee sees relevant announcements in their own feed and can mark them as read, while the people who created them can see how many people have seen a given announcement and who specifically has read it.
Who uses it
- HR Admins: Write, schedule, publish, edit, and archive announcements; choose who each one reaches; monitor read rates and see exactly who has and hasn't read a given announcement.
- Managers: See announcements that are targeted to them, their department, or everyone, the same way any other employee does (unless they've also been given announcement-management rights).
- Employees: See announcements addressed to them in their announcements feed, read them, and mark them as read.
What you can do here
- Write an announcement with a title, a longer message body, a category (General, Policy, Event, Alert, Celebration, Holiday, Reminder, or Update), and a priority level (Low, Normal, High, or Urgent).
- Choose exactly who sees it: everyone in the company, one or more specific departments, a hand-picked list of individual employees, or everyone holding a chosen role.
- Save it as a draft to finish later, schedule it to go out automatically at a future date and time, or publish it right away.
- Set an optional expiry date and time — once it passes, the announcement is automatically taken off the active feed.
- Pin an important announcement so it appears at the top of everyone's feed (up to three can be pinned at once).
- Preview exactly how the announcement will look before saving it.
- Choose whether High and Urgent priority announcements should also be emailed to the people they're targeted to (on automatically for those two priority levels, and can be added when editing any announcement).
- See a live status for each announcement — Draft, Scheduled, Published, Archived, Expired, or Failed to send — and filter the list by status.
- Track how many of the intended audience have read a published announcement, as a percentage, and see the full list of names and read times.
- Edit an announcement's content or targeting, or archive one to retire it.
Step-by-step: Publishing an announcement to a specific department
- 1From Announcements, select New Announcement.
- 2Enter a title and the message body, then choose a category and priority.
- 3Under Audience type, choose By department, then tick the department(s) that should see it.
- 4Decide whether to publish immediately or schedule it for a later date and time, and optionally set an expiry date.
- 5Use Preview to check how it will look, then save it. If you chose to publish now, it goes out immediately and the targeted employees are notified.
How it connects to other modules
- Notifications: every published announcement automatically creates a notification for each person in its audience.
- Settings & Administration: audience targeting draws on the Departments and Designations lists, the employee directory, and each employee's role.
- Settings & Administration > Roles & Permissions: only people whose account currently permits it can create or manage announcements; everyone else only sees the read-only feed.
Good to know
- Only active (currently employed) people are counted and notified — someone who has left the company won't receive an announcement or count toward read-rate statistics.
- A title already in use by a currently active announcement can't be reused, though a retired (archived) announcement's title becomes available again.
- At most three announcements can be pinned at the same time.
- If sending notifications for a published announcement fails partway through, the announcement is marked Failed so HR can see and address it.
- Expired, scheduled announcements are automatically moved to Archived status once their expiry date passes.
