Assets
Track every piece of company equipment — who has it, who's asking for it, and what still needs to come back.
Overview
Assets is the company's equipment register: laptops, monitors, phones, vehicles, and anything else the organization issues to its people.
HR (or IT, Finance, or Facilities, depending on how categories are set up) catalogues what exists, hands items out to employees, and keeps track of condition, warranties, and location. Employees can see what's been issued to them, confirm they've received it, ask for new equipment, and report damage or loss — and everything ties into what happens when someone leaves the company.
Who uses it
- HR Admins: (and other assigned owners like IT, Finance, or Facilities for their own categories) Catalogue assets, assign and transfer them, approve or reject employee requests, manage categories, configure approval rules and offboarding behavior, import equipment lists in bulk, and run reports.
- Managers: Can be asked to approve steps in an approval chain (for example, approving equipment for their own team).
- Employees: See what's issued to them, confirm receipt, request new items, and report damage or loss.
What you can do here
Admins
- Build a catalogue with a tag, name, model, serial number, purchase details, cost, vendor, warranty date, location and condition — one at a time or by importing a spreadsheet, with a preview step before anything is saved.
- Organize assets into categories and decide which team owns each one for notifications and approvals.
- Assign available assets to an employee, recording condition at handover, an expected return date if it's a loan, and notes.
- Transfer an asset between employees, or record its return to the pool.
- Mark an asset under repair, lost, or retired, and bring it back into the pool later if appropriate.
- Set up multi-step approval chains for assigning, transferring, or handling requests — routed to a specific person, a role, or “the employee's reporting manager,” and can differ by category (for example, laptops route to IT).
- Decide on incoming requests — approve (optionally issuing an asset immediately), reject with a reason, set or change a promised delivery date, or close a request that can't be met.
- View reports — assets by employee, by category, pending returns, damage/loss history, and cost breakdowns by category or department — each exportable to a spreadsheet.
Employees
- See everything currently and previously issued to them, confirm receipt, and request new equipment with a short explanation of why.
- Report that something they hold has been damaged or lost, which immediately notifies HR (and pulls it from circulation if lost).
Super Admin
- Configure settings: whether assignments, transfers, or requests require approval, whether receipt must be confirmed, how unreturned assets are handled at exit, and reminder timing for warranties and due returns.
Step-by-step: An employee requests equipment and it gets approved and issued
- 1The employee goes to “My assets,” selects “Request an asset,” picks a category (or “not sure”), and briefly explains why they need it.
- 2HR sees the request in the queue, along with how many matching items are currently in stock.
- 3HR approves it. If a matching asset is free, it can be handed over right away with its condition recorded; if nothing's free yet, the employee is instead given an expected delivery date.
- 4The employee sees the outcome under “Your requests” — either the item now shows as issued, or the promised date appears (and is flagged if it later becomes overdue).
- 5When the asset is handed over, the employee confirms receipt with a single click, recorded with a timestamp.
How it connects to other modules
- Organizational Chart: approval steps can route to “the reporting manager,” resolved from the current structure.
- Employee profiles: held assets and request history appear alongside an employee's other information.
- Employee Lifecycle offboarding: when an exit reaches clearance, everything the employee still holds is automatically listed on their exit checklist, and final pay can be set to wait until it's resolved.
- Notifications: employees are told about approvals, promised dates, and status changes; HR is told about damage/loss reports.
Good to know
- Depending on settings, approval can be required before an assignment, transfer, or request goes through — with approval off, the action happens immediately.
- The same person can't approve two steps of one chain, and nobody can approve a request about themselves — even a Super Admin.
- An asset with any assignment history can't be deleted outright, only retired, so its history is never lost.
- Reporting an item lost immediately takes it out of the assignable pool.
- At offboarding, the company can choose how strict to be about unreturned equipment: a hard block on final settlement until everything's returned or waived, a soft warning HR can override with a logged reason, or no gating at all.
- Importing from a spreadsheet always previews what will happen first — problem rows are flagged and skipped, and nothing saves until the import is explicitly confirmed.
